Product Information

We cannot guarantee all actual products will be exactly the same shown on the monitor as that is depending on the user monitor.

Product Validity

The term of life will commence following the payment of the product. Sessions that are not used within the validity period become null and void.

  • Five Session Package - 6 months
  • Ten Session Package - 6 months
  • Fifteen Session Package - 12 months

Newsletter

Users shall agree that https://www.sanctuaryclinics.co/ may send newsletters regarding the latest news/products/promotions etc through email to the user.

Indemnification

The user shall agree to defend, indemnify and hold Sanctuary Clinics by Solace harmless from and against any and all claims, damages, costs and expenses, including attorneys' fees, arising from or related to your use of the Site.

Link to other sites

Any access link to third party sites is on your own.Sanctuary Clinics by Solace will not be related or involved to any such website if the user's content/product(s) got damaged or lost have any connection with a third party site.

Termination

This agreement is effective unless and until terminated either by the client or Sanctuary Clinics by Solace. Clients may terminate this agreement at any time. However, https://www.sanctuaryclinics.co/ may also terminate the agreement with the client without any prior notice and will be denying the access of the client who is unable to comply with the terms and conditions above.

BOOKING POLICY ON SERVICES

Session Booking: clients may book a session either through this website or by contacting us at info@sanctuaryclinics.co or +601126754686

Ecologi Partnership: For every purchase through our website, a tree will be planted in support of our sustainability initiative. Please note that this initiative applies exclusively to Website purchases and does not extend to purchases made in person at our clinic or through WhatsApp.

CANCELLATION POLICY ON SERVICES

Cancellation Period: clients may cancel their session booking up to 24 hours before their session without penalty. Any cancellation made within 24 hours before the session will be subject to a cancellation fee. Cancellation Fees: If cancellation occurs within 24 hours before session, a cancellation fee of up to 100% of the total session cost will be charged.

REFUND POLICY ON SERVICES

Non-Refundable Services: All psychotherapy sessions purchased are strictly non- refundable and non-deferrable. Process for Cancellation: To cancel a session booking, clients must contact our client service department at info@sanctuaryclinics.co or +601126754686. We only be able to reschedule you to a later time/date if cancellation is made 24 hours before the scheduled session timing. Changes to Reservations: Changes to session dates or times may be accommodated depending on availability and must be requested at least 24 hours before the scheduled session time. Additional charges may apply for changes made outside of this timeframe.

PAYMENT POLICY ON SERVICES

All Goods purchased are subject to a one-time payment. Payment can be made through various payment methods we have available, such as bank transfers, DuitNow QRPay, Visa, MasterCard or senangPay webstore.  Payments cards (credit cards or debit cards) are subject to validation checks and authorization by Your card issuer. If we do not receive the required authorization, we will not be liable for any delay or non-delivery of your purchase. Bank Transfers: clients can pay via bank transfers. TELEMEDICINE (ONLINE SESSIONS) POLICY

This policy outlines the framework for the provision of mental health services via telemedicine (online sessions). It ensures that care delivered remotely upholds the same professional, ethical, and clinical standards as in-person consultations, while prioritising client safety, privacy, and quality of care. The policy applies to all clinicians, administrative staff, and clients of Sanctuary Clinics by Solace who engage in telemedicine sessions. Telemedicine refers to the delivery of mental health services through secure audio-visual platforms such as Zoom or Google Meet, while clients are defined as individuals receiving care, and clinicians include licensed mental health professionals such as clinical psychologists, counsellors, psychiatrists, or medical officers.

Eligibility for Telemedicine

Telemedicine sessions may be offered to clients who have access to a stable internet connection, a private environment, and an appropriate device with audio-visual capabilities. However, telemedicine is not suitable for all cases. Clients presenting with acute crises (e.g., suicidal ideation with immediate intent, psychosis, or severe self-harm risk) may be advised to attend in-person sessions or emergency services. The suitability for telemedicine is determined by the clinician on a case-by-case basis. Informed Consent Before beginning telemedicine sessions, clients must review and sign the Telemedicine Consent Form. Content of the consent covers:
  • Nature, process, and limitations of online therapy
  • Risks (e.g., technical failures, limited crisis response)
  • Privacy and data security measures
  • Emergency procedures

Confidentiality and Data Protection

All sessions are conducted through a secure, encrypted platform that is approved by the clinic. Session will not be recorded unless both client and clinician provide explicit written consent. Clients are expected to maintain their own privacy by attending from a quiet, secure location and using headphones where possible. The clinic will maintain documentation of telemedicine sessions in line with existing medical record protocols and in compliance with the Personal Data Protection Act (PDPA) 2010 and other relevant regulations

Session Protocol

Clients are expected to log in at least five minutes before their scheduled session. Should technical issues arise, the clinician will attempt reconnection for up to ten minutes. If the issue cannot be resolved, the session may continue by telephone or be rescheduled. Cancellation, rescheduling, and fee arrangements remain consistent with the clinic’s standard policies, and all payments must be completed in advance through the clinic’s approved channels

Emergency Procedures

If a crisis occurs during an online session, the clinician may contact the client’s designated emergency contact, provide referral to the nearest hospital, or engage crisis hotlines or community services as necessary. These procedures ensure that clients remain supported and safe, even in the context of remote care.

Responsibilities

Clinicians are responsible for delivering care ethically, assessing the appropriateness of telemedicine for each client, and maintaining professional boundaries. Clients must ensure they attend sessions on time, maintain a private environment, and comply with clinic policies. The clinic administration is responsible for ensuring secure telemedicine platforms are in place, supporting smooth operations, and regularly reviewing this policy.

Policy Review

This policy will be reviewed annually, or earlier if there are changes in regulations, technology, or clinical standards, to ensure that telemedicine services remain safe, effective, and aligned with best practices.
